Why Your New Employees Need to Complete This Form

Before you can run payroll for a new employee, HMRC requires basic starter information such as their tax code, student loan status, and previous employment details. The New Starter Checklist ensures you gather this information in the correct format.


How to Get It Completed

  1. Send your new employee the HMRC Starter Checklist.

  2. Ask them to fill it out and return it to you as soon as possible (PDF or scanned copy is fine).

  3. Send us the completed form securely, and we’ll handle the rest in your payroll setup.

What if the employee doesn’t have a P45?
That’s fine – the HMRC Starter Checklist is used instead to collect all necessary details.

Can employees fill this form online?
Yes, the form can be completed digitally and saved as a PDF before being emailed or uploaded securely.

Which box (A, B or C) should my employee tick on the checklist?
The declaration at the bottom of the Starter Checklist asks the employee to choose one of three options:

  • Box A: “This is my first job since 6 April and I have not received payments from any other source such as a pension.”
    ✔️ Tick this if it’s their first job in the current tax year (since 6 April) and they haven’t had a pension or other income.

  • Box B: “This is now my only job but I’ve had another job or received income since 6 April.”
    ✔️ Tick this if they’ve had another job earlier in the tax year or received taxable income (like a pension), but this is now their only job.

  • Box C: “I have another job or receive a pension.”
    ✔️ Tick this if they are working more than one job or are receiving payments from a pension at the same time as this new role.

Encourage the employee to read each option carefully and only tick one box.
